- Ex-POS: Your current POS system
- Ex-Processor: The payment processor used by your Ex-POS (e.g. TSYS, Fiserv)
- FlexWash: Your new POS
- Adyen: FlexWash’s payments platform
Export
In most cases, the Ex-POS will request a shutoff date for recurring billing. We recommend setting this at least 30 days out. If timelines change, ask for adjustments with a minimum of 7 days’ notice. During this period, we set up interim imports to ensure your site continues operating smoothly and members remain active without disruption.POS Data Export
You notify your Ex-POS that you are migrating to FlexWash and CC our team on an email thread. They provide a data export containing all membership details except credit card numbers.Credit Card Data
You request an introduction to your Ex-Processor to export existing card tokens. Once connected, you CC your FlexWash onboarding specialist. From there, we coordinate a secure, encrypted processor-to-processor transfer directly between your Ex-Processor and Adyen. This minimizes data handling and avoids unnecessary exposure.Import
Once all export files are received, we begin the import process.Phase 1: Controlled Test Import
We start with a small, representative sample of approximately 10 members. These are intentionally chosen to reflect real-world edge cases, such as:- Members due to be re-charged tomorrow
- Members who recently declined
- Members with multiple vehicles and/or bulk discounts
- Members on promotional pricing (e.g. $1 intro periods)
Phase 2: Full Migration
Once recurring billing is fully disabled in the Ex-POS, we migrate the remaining members on the same day. After completion, you receive a detailed migration report showing:- How many memberships transferred successfully
- Which memberships (if any) failed and why
