# Operations

> The day-to-day vocabulary of running a wash: roles, procedures, policies, and maintenance terms as operators actually use them.

  Aftercare Center
</h3>

A dedicated service area in a Flex-Serve or Full-Service car wash where attendants perform manual detailing work (interior vacuuming, window cleaning, tire dressing, hand waxing, leather treatment) separate from the automated tunnel.   Alleged Incident Report
</h3>

A deliberately worded version of a standard incident report form where operators insert the word "alleged" before "damage" or "incident" throughout, so the paperwork never concedes that the wash caused anything - protecting the operator if the claim is later disputed or goes to court.

  Cross-Trained
</h3>

Staff trained to perform multiple service types and roles within a car wash (e.g., vacuuming, detailing, window cleaning, tire dressing), enabling operational flexibility and easier shift coverage during peak and off-peak hours.   CSA (Customer Service Attendant)
</h3>

Frontline staff stationed at the pay station/tunnel entrance whose job includes greeting customers and pitching membership sign-up - the human point of the conversion funnel.

  Customer Wait Time
</h3>

The time a customer waits before their vehicle enters the wash tunnel, used as a key performance metric for Express Exterior and Flex-Serve locations. Industry standard target cited as 5 minutes or less during peak operations to maximize throughput and customer satisfaction.   Damage Assessment
</h3>

The formal step where a manager or owner inspects an alleged damage claim - including reviewing camera footage - before deciding whether to pay, comp, or deny it. Distinct from the customer-facing incident report.

  Damage Claim
</h3>

A customer's assertion that the wash damaged their vehicle. Operators subdivide it in conversation by credibility: a legitimate claim is one the wash accepts caused real damage; a false or bogus claim is one operators believe is fabricated or opportunistic; a ticky-tack claim is dismissive slang for a trivial/nuisance claim not worth fighting; a subro claim is one routed through the customer's own insurer.

  Detailing Services
</h3>

Premium car care add-on services beyond basic washing, offered in Flex-Serve and Full-Service locations. Include interior vacuuming, window cleaning, tire dressing, hand waxing, leather treatment, and other value-added services typically requiring 15-60 minutes and performed in an aftercare center. <h3 id="dms-data-migration-specialist">
  DMS (Data Migration Specialist)
</h3>

The DRB role responsible for exporting/severing replication from the outgoing SiteWatch server and migrating customer/member data into Patheon during a conversion, working in parallel with on-site field techs (FTs). Waits for the FT's "green light" before starting migration, and (per one note) logs in after site close to turn off ARM.

<h3 id="equipment-strike">
  Equipment Strike
</h3>

An incident in which a vehicle collides with, knocks loose, or otherwise damages moving tunnel/IBA machinery (as opposed to the machinery damaging the vehicle) - e.g., a car pulling forward off the conveyor and hitting a gantry or brush assembly. Operators treat it as a distinct category from vehicle-damage claims because liability usually runs the other direction.

<h3 id="flying-blind">
  Flying Blind
</h3>

Operating a conveyor tunnel wash when the tunnel controller (the system that sequences and times every piece of equipment) is down or malfunctioning - meaning staff must run/monitor equipment manually without the controller's automated coordination.

<h3 id="hsn-hardware-serial-number">
  HSN (Hardware Serial Number)
</h3>

DRB's field name, used on Patheon Portal / Site Hardware setup screens, for a peripheral's serial number - most commonly an EMV card reader's HSN, which must be captured from the outgoing SiteWatch site and re-entered against the matching terminal in Patheon during a conversion.

<h3 id="ids-register">
  IDS Register
</h3>

The registration/login step performed on each Patheon terminal and the appliance after deployment, using a shared internal DRB service account (never a customer credential) to complete site sync and bring the terminal online in Patheon; a checkbox for it appears during the initial boot/setup flow.

  Incident Report
</h3>

Operators draw a deliberate line between an "incident report" (any customer-reported event, filled out regardless of fault) and an "accident report" (reserved for employee-caused or employee-observed events) - the word choice itself is treated as liability-management language, not just paperwork naming.

<h3 id="interim-import">
  Interim Import
</h3>

FlexWash's name for a preliminary, repeatedly-refreshed data import performed early in an onboarding/migration project, mapping a customer's still-active legacy POS export (members, plans, prepaid balances, license plates) into the new system so wash recognition and history continuity work before the final cutover. It is distinguished from the final Token Transfer/migration: the interim import can be updated multiple times as the legacy system keeps changing, while the final import happens once, at cutover, from a synchronized data pull.

  Kanban
</h3>

Lean manufacturing supply-chain discipline adapted for car wash aftercare centers to maintain orderly, efficient material flow. Visual "signal" system (e.g., colored board placed between stacked towels at trigger level) alerts staff when supplies need replenishment, ensuring continuity without disruption to service workflow.   L.A.S.T. Approach (Listen, Apologize, Solve, Thank)
</h3>

A customer-service framework taught to car wash staff for handling damage complaints: Listen, Apologize, Solve, Thank. Cited in trade press as the standard structured response operators are trained to use at the point of complaint, before any formal damage assessment begins.

<h3 id="l1-l2-support">
  L1/L2 Support
</h3>

Washify's two-tier technical support escalation model. L1 runs a fixed diagnostic decision tree (incident-vs-isolated check, remote-access test, IP/DHCP/DNS checks, device-specific checks) documented step-by-step for its own staff, and escalates to L2 for anything beyond that scope (port forwarding, router replacement, advanced config, application-level issues) using a structured hand-off format (summary, customer/site info, steps already tried, current state, priority).

  Labor Percentage
</h3>

Payroll expense expressed as a percentage of total revenue; a core operating-cost benchmark since express washes are designed to minimize labor relative to older full-serve formats. Acquidex cites a healthy band under 22% of revenue for express tunnels.

<h3 id="loader-loader-roll-up-area">
  Loader (Loader / Roll-Up Area)
</h3>

Two related senses. (1) The staging/entrance zone before the correlator where vehicles are detected, identified (RFID/LPR), and positioned onto the conveyor, with cars spaced appropriately to prevent collisions. (2) "The loader" - the attendant/role who does that positioning. Increasingly supplemented or replaced by anti-collision vision systems and by loader-efficiency analytics.

<h3 id="location-code">
  Location Code
</h3>

DRB's standard 7-character alphanumeric site identifier (e.g., a 6-letter company/city code plus a 2-3 digit sequence number) assigned to every site, used as the computer/terminal naming root (terminal hostnames are the location code plus a role suffix, e.g., a cashier terminal or kiosk number) and as the lookup key in DRB's VPN/remote-access tooling and in tax-rate/location mapping.

  Paylanes
</h3>

Individual payment collection lanes or stations within a car wash facility where vehicles queue to pay or select services before entering the tunnel.

<h3 id="prepper">
  Prepper
</h3>

The job title/role for the employee stationed at the tunnel entrance who inspects incoming vehicles and pre-treats stubborn dirty spots (front bumper, windshield, grille) with a prep gun before the car enters the wash. On busy or muddy days a second prepper may work the opposite side or handle extra-dirty vehicles.

<h3 id="prepping-prep">
  Prepping (Prep)
</h3>

The pre-treatment step performed before a vehicle enters the tunnel: spraying chemical pre-treatment on hard-to-clean areas, such as bugs, tar, and heavy grime on the front end, wheel wells, and running boards, so the main wash cycle can remove it. Operators compare it to treating a stain before washing a shirt. In Full-Serve and Flex-Serve locations it is a manual stage in which attendants prepare vehicles for the tunnel wash, including vacuuming the interior, removing heavy insect debris, and applying pre-soak chemicals; modern Express Exterior and Flex-Serve systems minimize or eliminate manual prep with automated equipment (as of 2016, per Sonny's "Car Wash Programs For New Investors" guide, and may have changed).

<h3 id="rain-check-rewash-guarantee">
  Rain Check (Rewash Guarantee)
</h3>

A service guarantee where a customer whose freshly-washed car gets rained on can return within a set window (commonly 24-72 hours, sometimes tied to loyalty-club membership) for a free rewash, usually requiring the original receipt. Policy windows and names vary by operator; no single industry-standard term.

<h3 id="retract">
  Retract
</h3>

Two related senses in field use, both recorded: (1) an optional wash feature added to a package - grill retract, hitch retract, tire brush retract - that tells the controller to pull a piece of equipment away from a specific area of the vehicle, mapped to relay codes and sendable manually or saved to a vehicle tag; and (2) the physical retracting/withdrawing of a tunnel component (boom arm, side brush, top brush, tire brush) itself. Implementation varies by controller (r-TC, TunnelWatch, ICS, Sonny's).

<h3 id="rewash">
  Rewash
</h3>

A complimentary or discounted additional wash provided to a customer when a previous wash cycle fails or is incomplete, managed through the POS as a separate transaction (often permission-gated to prevent abuse). Related to but distinct from a rain check, which is a weather guarantee rather than a quality remedy.

  Service Cells
</h3>

Individual detailing work stations in an aftercare center, typically equipped with vacuum lines, air supply, chemical dispensing systems, and detailing tools. Designed for 2-4 attendants to work simultaneously. Cells can scale up/down in number based on volume demand and peak vs. off-peak periods. <h3 id="shut-off-date">
  Shut-off Date
</h3>

The agreed date on which a customer's legacy POS/processor is deactivated as part of a POS migration - used as a gating condition before final billing/import steps proceed (e.g., a migration checklist item requiring "shut-off confirmation" before completing an import and starting charges on the new system).

  Site-Specific Drawings
</h3>

Comprehensive CAD and mechanical drawings provided free by equipment manufacturers (Sonny's provides up to 50 pages per project) showing tunnel layout, conveyor routing, electrical, plumbing (fresh water, reclaim, pneumatics), parking, landscaping, and architectural integration. <h3 id="subro-claim-subrogation-claim">
  Subro Claim (Subrogation Claim)
</h3>

A damage claim pursued not by the customer directly but by the customer's own auto insurer, which pays the customer and then goes after the car wash (or its insurer) to recover the payout. Operators use it as shorthand for "the insurance company is coming after us, not the driver.".

<h3 id="token-transfer">
  Token Transfer
</h3>

The process of transferring stored customer payment token data from one point-of-sale system to another (e.g., from Washify to a new provider via Adyen), including member accounts and payment method information, so recurring billing continues uninterrupted after a POS migration.
